Project Brief
Based on user feedback from last year's NPS report regarding the complex initial connection process, we've redesigned the welcome screen as part of this year's product rebranding and visual overhaul.

How can we reduce the learning curve for first-time users when they start wireless screen sharing?

Collecting Insights from Colleagues

Implement a Smart Meeting Room Project with the PM, using wireless solution for meetings. Gather users feedback to enhance the project.

Seek permission to attend meetings across various departments to observe users interactions and gain valuable insights.
User Journey to Find Out Pain Point
Based on user feedbacks and observations during meetings, we created user journey maps to assist the team in gaining a deeper understanding of the encountered problems.

We've noticed that first-time users find it hard to figure out how to screen share because they have to jump around to find the right information.

Here are the problems most first-time users encountered below:

The visual design of the welcome screen, with its two horizontal blocks, is misleading and causes first-time users to assume that the process begins on the left side.

The login code is not easily identifiable on the welcome screen, causing users to look for it.

Users are confused when multiple devices appear on the device list, as they are unsure which one to select.

Users with experience in wireless projection still need to spend time searching for connection information when following instructions.
2. Various connection methods are mixed together.
The mix of different connection methods throughout the process causes user confusion.

First-time users successfully share their screen to a display within 5 minutes of reading the welcome screen.
* 5-minute setting up meeting equipment is generally acceptable for most users.

Validate through New Users
To validate the new design, we invited 8 new colleagues to participate in a usability testing. They brought their laptops/mobiles to a conference room and completed a specific task.
Task: As the meeting host, present the agenda using the welcome screen’s information to share your device screen onto the conference room display.

Findings

First-time users can start operating with clear guidance.

The initial setup to screen sharing takes approximately 5 minutes.
Modify
2 Key adjustments based on testing:

Prioritize app download: Streamlined the user journey by making app download the first step and displaying download info alongside it.

Clarify professional terms: We conducted a deeper analysis of competitors' use of professional terms. Used full sentences to define terms like "connecting to network" to avoid confusion.

After the release of the new version of Welcome Screen, the regional PM teams received positive feedback, including:

Takeway
This positive feedback has given us the confidence to experiment with more ideas and innovations to improve the user experience, particularly for users who are using wireless sharing for the first time in meetings.
Although there are more advanced collaboration features that need to be improved, this is a new way for us to understand our users' needs on a deeper level.
